Close or cancel a claim

  • The status of a claim can only be updated to Close or Cancel if: 
    • all estimates and recoveries reserves have a $0 balance;
    • Claim Decision must be: Approve, Decline, Partial Declined or Withdrawn;
    • all Claim tasks must be closed;
    • Supplier Allocation must be completed;
    • Scope of Works cannot have a status of pending; and
    • there cannot be any payments pending approval or in draft status
    • Note: If any of these items are outstanding, then the user will receive a warning and they will not be able to close or cancel the claim.
  • Select ‘CLAIM #(Claim number)’ from the left-hand side menu.
  • Under ‘CLAIM SUMMARY’, select the arrow button  next to Claim Status.
  • Select Close or Cancel from the drop-down box.
  • In the pop-up window select status change ‘REASON’.
  • Select the button with your close reason to confirm the change.
  • Confirm by selecting the ‘CLOSE’ button.

Note: Once a claim is closed, booking an assessor, assigning a supplier, making a payment, adding reserves or recoveries, and adding a new scope of work is not allowed. An external or internal user can add notes and documents on a closed claim, which will generate a task to the last claim owner to notify them that items have been added.


Reopen a claim

Note: If you are adding a note or attaching a document you do not need to reopen the claim.

  • Under ‘CLAIM SUMMARY’, select the arrow button  next to Claim Status.
  • Select ‘REOPEN’ from the drop-down box.
  • In the pop-up window select status change ‘REASON’.
  • Select the reason to confirm the change.
  • Confirm by selecting the ‘CLOSE’ button.
  • If required you should then proceed to the Financials screens to amend reserves to allow for the new activity.
